Planning a destination wedding or event? One of the first big decisions you'll make is how to handle your room block. And if you've heard people talk about flat $500 deposits or $100-per-room blocks, you’re probably wondering what the difference is — and what’s best for you.

We created this guide to break it all down clearly and help you feel confident moving forward.

First, What Is a Room Block?

A room block is simply a group of hotel rooms set aside just for your guests—so they can book at a fixed rate, within a deadline, and (bonus!) you may earn perks like free nights or upgraded rooms.

There’s no one-size-fits-all approach to room blocks. Some couples and group leaders want flexibility. Others want value and perks. We’re here to walk you through the difference.

Option 1: The Soft Block (Low Deposit Style)

This is what people are usually referring to when they say “We locked in our rooms with $500.” And yes, that can work… but let’s talk about what you’re actually getting.

What it is:

  • A small number of rooms (usually 5 or fewer)

  • Held with a flat deposit (commonly $500)

  • No names or payments needed from guests upfront

What it’s not:

  • Room types and rates are not guaranteed

  • You won’t maximize your perks (free nights, upgrades, wedding credits, etc.)

  • Room space isn’t protected, which means rooms can sell out or go up in price

  • Guests may end up booking outside the block (or not booking at all)

Good if:
You’re early in planning and don’t know how many guests are coming. You just want to hold something while you figure it out.

Not great if:
You want perks, need 10+ rooms, or would lose sleep if your guests couldn’t get in at the group rate.

Option 2: The Full Contract (Traditional Room Block)

This is the more classic, structured option—and it’s what most group leaders and couples use for destination events with 20+ guests.

What it is:

  • 10+ rooms across your preferred categories

  • Locked-in rates, room types, and space for your guests

  • Perks like free nights, suite upgrades, welcome events, or credits

  • Deposit is usually $100–$150 per room, applied to your stay

What it’s not:

  • As flexible if you’re still guessing guest count

  • Great for last-minute planning

Good if:
You know you’ll have guests coming and want to give them the best experience—plus earn perks that help with costs.

Not great if:
You’re planning an event/wedding with fewer than 10 rooms or aren’t ready to move forward yet.

So… Which One Should You Choose?

Start with your vibe:

  • Want to lock in perks and space for 20+ guests? Go full contract.

  • Still unsure about your guest count and need to test the waters? Start with a soft block.

Just know: the $500 flat model can feel easy now, but it doesn’t always protect you later.
We’ve seen couples pay more down the line—or miss out on rooms they assumed would be there.
